Privacy Policy for Robert Nextcloud Mail

Robert Nextcloud Mail is a private, self-hosted Nextcloud installation used to access and manage email through the Nextcloud Mail application.
Google Account Data Access
When a user connects a Google account, the application may request access to Gmail data required to provide email functionality. This may include:
- Email messages and message content
- Email folders and labels
- Message metadata, including sender, recipient, subject, and date
- The ability to send email through the connected Google account
- Basic Google account information needed to identify the connected account
How Google User Data Is Used
Google user data is used only to provide email features inside the private Nextcloud Mail installation, including:
- Displaying and organizing email
- Searching and synchronizing messages
- Reading message content and attachments
- Sending and replying to email
- Managing folders, labels, read status, and message state
Data Storage
Email data, authentication tokens, and related account information may be stored on the privately operated Nextcloud server as required for synchronization and normal application operation.
Data Sharing
Google user data is not sold, rented, used for advertising, or shared with third parties.
Data may be processed by the Nextcloud server software and its installed Mail application solely to provide the requested email functionality.
Data Protection
Reasonable technical safeguards are used to protect stored data, including encrypted network connections, access controls, authenticated user accounts, server security controls, and encrypted storage where configured.
No method of storage or transmission can be guaranteed to be completely secure.
Data Retention and Deletion
Google user data is retained only as long as necessary to provide the email service or until the connected account is removed.
A user may remove the Google account from Nextcloud Mail to stop further access. Stored account data and tokens may also be deleted by the server administrator.
Revoking Google Access
Users may revoke the application's Google Account access through their Google Account security settings.
After access is revoked, the application will no longer be able to retrieve or send Gmail data unless the account is authorized again.
Limited Use
The use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including the Limited Use requirements.
Age Restriction
This service is intended only for adults who are 18 years of age or older. Minors are not permitted to create accounts, access the server, or use the application.
The server administrator may suspend or remove any account believed to belong to a person under 18 years of age.
Changes to This Policy
This policy may be updated if the application's data practices or functionality change. The updated date will be shown at the top of this page.
